Salary: £12.71 per hour
Hours: Number of hours not guaranteed, solely based on business demand, approximately 15 - 20 hours per week Monday – Friday, variable hours (some evenings and weekends may be necessary with prior agreement).

About the role:
We are looking for a friendly, personable, and professional Front Office Receptionist & Administration Assistant. Duties include: greeting and assisting visitors, answering phone calls and emails, maintaining presentation standards of the centre, setting up rooms for events, and providing general administrative support.

Duties & responsibilities:
• Greet and welcome visitors/users to MFC; answer queries, guide visitors to rooms and show new visitors around the premises and explain facilities and services available.
• Answer, screen and forward incoming phone calls and emails.
• Monitor and maintain room presentation standards, including ensuring reception, kitchen, commercial hire spaces and student social spaces are tidy and presentable.
• Receive, sort and distribute mail/deliveries.
• Prepare rooms for events (e.g. setting up tables, chairs, preparing and displaying room signage)
• Carry out weekly premises safety checks.
• Liaise with University Estates colleagues to flag building maintenance, health & safety and IT issues and manage them to their resolution.
• Act as the first point of contact for issues raised by Chaplaincy colleagues and visitors to the building.
• Provide general administrative support to Multi-Faith Centre Team including ad hoc support with project administration, event coordination and marketing (e.g. updating web pages) as required at the request of the Director.
Person Specification:
• Excellent communication and interpersonal skills.
• Confidence to communicate effectively with a wide range of people.
• Experience of using Word, Excel, Canva and some social media platforms.
• Data entry skills and knowledge of databases and spreadsheets including excel and Google forms.
• Demonstrable experience of administrative work in a busy office/team environment
• Excellent IT skills including the use of MS office applications (Word, Excel, Outlook, PowerPoint) plus experience of audio/video software such as Zoom and MS Teams
• A high level of attention to detail and accuracy.
• A good level of communication skills (written and oral).
• Excellent interpersonal skills, including a confident and courteous manner when liaising with visitors, external supporters and providers.
• Ability to work flexibly, be responsive to changing demands and to work collaboratively as part of a busy team.
• Ability to use initiative and work independently.
